Using the RMS Journal Viewer

The Journal Viewer in Microsoft RMS is a powerful tool for reviewing transaction history and reprinting receipts, however it is not always the easiest feature to use.  This tutorial will take you through the features and quirks of the Journal Viewer.

Opening Journal Viewer

Store Operations POS - Press the F4: Journal function key button (or the F4 key on the keyboard)
Store Operations Manager - Click Journal -> View...
Headquarters Manager - Click View -> Journals

Journal Viewer Navigation

When the Journal Viewer opens, it will display the first receipt from the open batch of the current register.  This varies depending on where you access the Journal Viewer from (HQ/Store) and if you are using a register or a back office machine, but in general the default entry is not what you are looking for.  The following keyboard combinations will help you move through the various receipts and pages.

Page Up Key - Move to the previous receipt.
Page Down Key - Move to the next receipt.
Home Key - Move to the first receipt.
End Key - Move to the last receipt.
Up, Down, Left, Right Arrow Keys - Scroll up, down, left or right (respectively) within the preview of the journal entry.
Plus Key - Zoom in on the preview of the journal entry.
Minus Key - Zoom out on the preview of the journal entry.
CTRL + Left Arrow Key - Move to the previous page of the current receipt.
CTRL + Right Arrow Key - Move to the next page of the current receipt.

Journal Viewer Fields & Buttons

Here is a quick rundown of the various fields and buttons within the Journal Viewer.

Store - The store the current receipt belongs to (or N/A in a single store environment).
Register - The register the current receipt was originally created on.
Batch - The batch number of the transaction the current receipt was created on.
Receipt - The position of the current receipt within its batch.
Transaction - The type of transaction of the current receipt. (Sales, Work Order, Back Order, Quote, Layaway, X Report, Z Report, ZZ Report, Blind Close, Drop, Payout, No Sale, Aborted Transaction, Account Payment, Account Adjustment or Finance Charge)
Number - The unique identifier for the current receipt.
Cashier - The name of the cashier who was logged into the POS when the current receipt was created.
Date - The date the current receipt was created.
Time - The time of day with the current receipt was created.
Customer - The name of the customer assigned to the transaction when the current receipt was created.  If no customer was assigned this will be blank.
Page - The position of the current page of the current receipt.
Zoom - The zoom level in the preview window.
Mark as duplicate receipt - Indicates whether receipt printed from the Journal Viewer should be marked as duplicates.
Print... - Allows the current receipt to be printed to one of the configured receipt printers or a Windows printer.  Only configured receipt printers will be shown.  In Headquarters there is only the option to print to a Windows printer.
Page Setup... - Displays the page options for printing.
Batch... - Displays a list of batches for the store so that you may change which batch is being viewed.
Lookup... - Displays a list of all receipts created between a give Start Date and End Date.  Once a receipt is selected, the receipts batch will be loaded into the Journal Viewer.
Tenders... - Displays a list of all tenders used on the current receipt.
Close - Closed the Journal Viewer.
